Requirements for Efficient Outbound Wholesale/Large Shipments

Created by Sharon Murdock, Modified on Tue, 8 Apr at 2:40 PM by Sharon Murdock

To ensure efficient and timely processing of your large outbound shipments, please adhere to the following warehouse requirements:

1. Clear Communication

  • Shipment Setup Responsibilities:
Please clearly communicate whether you or Shipping Pilot (SP) will be responsible for arranging the shipment. This includes:

    • Carrier selection

    • Pickup scheduling

    • Preparation and submission of all necessary documentation

    • Order creation within Packiyo

2. Required Documentation

  • Timely Submission:
All required paperwork, such as commercial invoices and Bills of Lading (BOLs), must be completed accurately and submitted at least 24 hours prior to the scheduled carrier arrival. This ensures proper processing and avoids delays.

3. Client Arranging the Carrier

If you are responsible for arranging the carrier, please provide the following:

  • Carrier Name: The name of the carrier company.

  • Pickup Date and Time: The scheduled date and time for pickup.

  • BOL: The carrier must provide a BOL 24 hours before arrival at the warehouse for pickup.

  • Non-Freight Large Order Pickup: If you are picking up a large order yourself (non-freight), we still require 48 hours' notice and notification to our customer service team to ensure a smooth pickup process.

4. Shipping Pilot Arranging the Carrier

  • 48 Hours' Notice (Minimum): This allows us to arrange necessary resources, carrier availability, and communicate any specific handling requirements.

  • Packiyo Order: Please have an associated order in Packiyo for our reference and include this order number in your request to customer service.

5. Additional Considerations as to why we require a 48 hours' notice

  • Packaging and Labeling: All items must be appropriately packaged and labeled according to the carrier's requirements and industry standards. This includes proper weight distribution, secure packaging, and clear labeling with the destination address and any relevant handling instructions.

  • Palletization: If applicable, goods should be palletized to facilitate efficient loading and unloading. Pallets should be sturdy, properly stacked, and wrapped securely.

  • Accessibility: The shipment should be staged in an easily accessible area of the warehouse for the carrier to pick up, such as near a loading dock or designated pickup zone.

Important Note:

Failure to provide the necessary information and follow these guidelines may result in delayed or canceled pickups. We may have to deny carriers if these steps are not followed to prevent issues and ensure that all orders are handled properly.

By providing the necessary information and adhering to these guidelines, you can help ensure smooth and successful outbound bulk shipments from our warehouse. We appreciate your cooperation and look forward to fulfilling your shipping needs.
